Pond maintenance business software, built for route days.

If you've ever driven back across town because nobody could say whether the water got tested, this is for you. Helix Field keeps the cleaning schedule, the checkpoints, the photos, and the invoice in one app. The office works in a browser, the crew works from a phone at the pond.

Made for the water

The parts of pond work that generic software drops.

Pond work is not lawn care with extra steps. The water has to be tested, the work has to be photographed, and twice a year everything opens or closes at once. Most scheduling software has no idea what to do with any of that. This one does.

01 · RECURRING CLEANINGS

Set the cleaning schedule once. It builds the route for you.

Weekly skims in summer, biweekly cleanings in spring and fall, monthly checks in the slow months. Recurring maintenance plans put every visit on the calendar automatically, and the dispatch board turns each day into an ordered route your crew just drives.

  • Recurring plans per customer and per property
  • Drag to order the day's stops so ponds on the same side of town land together
  • A live technician map so the office knows which pond the truck is at

02 · WATER-TEST CHECKPOINTS

The water test that never gets skipped.

Job checkpoints are custom steps your technician clocks through on the phone during the visit. Define them once for your cleaning template: net and skim, empty the skimmer basket, rinse filter pads, test the water, dose treatments, photo the finished pond. Every visit runs the same list, whoever is on the truck.

  • Custom checkpoint lists per job, set by the office
  • Readings and observations go in job notes, saved from the field
  • New hires follow the same steps your best tech does

03 · PHOTO DOCUMENTATION

Proof of what the pond looked like when you left.

A pond can look different by dinnertime. String algae blooms, leaves drop, a customer's dog goes for a swim. Photos taken from the app attach straight to the job record, so when the phone rings you can pull up exactly how the water looked when your technician packed up, next to the customer's signature.

  • Before and after photos on every visit, stored with the job
  • Customer signatures captured on the phone at sign-off
  • Full visit history per property, searchable from the office

04 · GET PAID

From the pond to the paid invoice, same day.

Quote the new waterfall as an estimate, turn it into a job when they say yes, and invoice the moment the work is done. Customers pay online by card, or your tech records the check handed over at the gate. Hours worked flow into time tracking and payroll estimates for W-2 and 1099 crews in all 50 states.

  • Estimates, invoices, and online card payments in one flow
  • Cash and check recording from the field
  • Time tracking that rolls into payroll-ready numbers

Why Helix Field

Built alongside crews that work on water.

Helix Field is field service management built by BAW International, and its first customers are outdoor service companies in Oklahoma, including a crew that builds and maintains ponds and water features for a living. The recurring plans, the checkpoints on the job clock, the photo records: none of it came off a whiteboard. It got built because a working pond crew kept asking for it.

If ponds are one slice of a bigger outdoor operation, the same account covers all of it. Mowing crews and pond crews can run separate routes under one roof; the landscaping page covers that side of the business, and the pool service page covers pools. Still shopping around? Fair enough. Here's how we compare with other field service software.

Straight answers

Where Helix Field might not fit you yet.

We would rather tell you now than after you have paid. A few honest limits, so you can decide with your eyes open.

!No free trial. Helix Field is paid from day one: sign up, pick a plan, pay, and use everything. You can cancel anytime, but there is no free tier to camp on.
!iPhone crews wait a little. The technician app is Android today, with iOS on the way. The office side runs in any browser right now.
!Not a chemistry lab. Helix records that the test happened, with notes and photos on the job. It does not calculate dosing or model water chemistry.
!Construction-only shops. Helix earns its keep on recurring service. If you only build ponds and send a handful of invoices a year, it may be more tool than you need.

FAQ

Questions pond companies actually ask.

Does Helix Field handle seasonal pond openings and closings?

Yes. Openings and closings are scheduled like any other job, and each one can carry its own checkpoint list, so the netting, the pump pull, the deicer install, or the spring startup gets worked through step by step. Recurring cleaning plans fill the calendar between the two.

Can technicians record water tests during a visit?

Each visit can include water testing as a checkpoint, a step the technician clocks through on the phone as part of the job. Readings go in the job notes and photos attach to the same record, so the office can see the test happened without calling the truck.

How much does pond maintenance software from Helix Field cost?

Solo is $49 per month with 3 seats, Crew is $99 per month with 6 seats, and Team is $179 per month with 10 seats. Yearly billing works out to roughly two months free, and extra technician seats are $22 per month on any plan. Every plan includes every feature. There is no free tier and no trial: you sign up, pick a plan, and pay.

Does the technician app work on iPhone?

The field app is Android today, with an iOS version on the way. The office side runs in any web browser on any computer or tablet, so scheduling, invoicing, and reporting are never tied to a phone platform.

Can my crew take payment at the pond?

Customers can pay invoices online by card, and technicians can record cash and check payments against the job from the field. Card payments carry a 1% platform fee to BAW, with Stripe's standard processing fee separate.
